What copy machine policies should be in place?

Start with hardware needs first: For larger libraries two copy machines are necessary (at least) and, for smaller branches one machine is often sufficient (although a backup in case the machine breaks is much appreciated by staff and customers!). Have a change machine in place. It relieves burdensome staff work and relieves customers of running around looking for change.

With hardware in place consider the following:

  1. Always have clear instructions for use posted on the machine in Large Type.
  2. Provide clear instructions for how to get/make change, including where to find change if the change machine is not working (or not present).
  3. Post information on the library policy on poorly produced copies and on mistakes..the patrons’ and the machine’s.
  4. Provide a recycle box near the machine to facilitate convenient disposal of wasted copies or unneeded paper.
  5. Offer information on where to borrow tape, scissors or a stapler.

When providing a copy machine you are really providing access to a holistic task. Make it easy for your patrons to complete the entire task. They will appreciate your professional approach!
